Defining licence types

Licence types tell iENTR which qualifications your business tracks, like Site Safe or First Aid. Each type can carry its own fields, expiry rules, terminal reminders and a mandatory-for-access setting with a lenience window.

    Add a type

    Go to Settings, then Enrolment & fields, then Licences & certificates. Press Add type. A construction site might add Site Safe; a pool adds Pool Lifeguard Award; an office adds Fire Warden.

    Fields, photos, attachments

    Each type can carry its own fields (certificate number, issuing body), plus toggles for a photo or a file attachment per record. Turn on what you need to keep as evidence.

    A type that already has records against it cannot be removed: delete or move its records first.

    Expiry rules

    Tick Records of this type expire to unlock the rules. A validity period (say 12 months) pre-fills each record's expiry date from its issue date. Terminal reminders show a message on the sign-in screen during the warning window you choose, on every entry, with your own wording: {date} plus {days} fill in automatically.

    Tick Notify admins to have business admins emailed the day a record enters its warning window plus the day it lapses. Delivery plus wording live under the Licence expiries row in Settings, Notifications.

    Mandatory for access

    A type can be required for site access: someone without a valid record of it is refused at the terminal. A grace period (say 20 days from enrolment) gives new starters time to produce the certificate before the door locks. During the grace window they enter normally; when it ends without a valid record, access stops with a clear message.

    Roll this out gently: turn on terminal reminders first, then make the type mandatory once your records are loaded.
